Refunds and cancellations
What is refundable, what is not, and how to ask.
The short version
You can cancel and get money back until we have delivered the result you bought. Once we have delivered it — the first slot alert, or a booked appointment — the service is done and is not refundable. If we never deliver it, you get your money back.
Cancelling in the first 5 days of monitoring costs nothing. After that we keep 20% of our fee, because by then the monitoring has been running around the clock on our infrastructure and that capacity has been spent. Visa centre fees we collected but did not spend are always returned in full.7.8
The free Telegram alerts are free, so nothing is charged and nothing is refundable. This page covers the paid plans only.
Slot notifications (30-day monitoring)
You get a full refund when:
- you cancel within 5 days of monitoring starting.7.8
- no alert matching your criteria was sent during the 30 days. You choose: a full refund, a free 30-day extension, or credit for the full amount towards an auto-booking order. Tell us within 14 days of expiry — if you tell us nothing, we refund automatically.6.1.7
- the route or visa category is permanently discontinued mid-period — refunded pro rata for the unused days.6.1.8
You get 80% back when:
- you cancel more than 5 days after monitoring started, but before your first matching alert. We keep 20% for the monitoring already run.6.1.9
No refund once:
- your first matching alert has been sent — that is the result you bought. Alerts keep coming for the rest of the 30 days at no extra charge.6.1.3
Slots are taken by other applicants within seconds. An alert reports what was available at the moment we detected it — we cannot guarantee it will still be there when you go to book, and that is not a defect.6.1.5
Auto-booking
You pay the visa centre's fee upfront (we pay it to the centre on your behalf) and our own fee only after we have booked an appointment for you.6.2.2 Setting a date range is optional — without one we search for the earliest appointment we can find, and the search runs until we book or you cancel.6.2.4
You get a full refund when:
- the search ends without a booking — your date range runs out, or the route stops being serviceable. No fee is due, no monitoring charge is made, and any unspent visa centre fee comes back.6.2.7
- you cancel within 5 days of monitoring starting, or before it starts, or the order lapses because applicant details were not submitted in time.6.2.3
- the visa centre fee turns out higher than estimated, you do not approve the difference, and you cancel.6.3.2
We keep 20% of our fee when:
- you cancel while the search is running, more than 5 days after it started. Unspent visa centre fees are still returned in full.6.2.8
No refund once:
- an appointment matching your criteria has been booked — the service is performed and our fee is due.6.2.5
- you do not attend, cancel, or no longer need a booked appointment. Visa centre fees come back only if the centre returns them.9.4
- the booking was made with incorrect details you supplied — a correction needs a new order.6.2.9
If the visa centre cancels your appointment:
Your choice: a free re-booking, or a refund of our fee plus any visa centre fee the centre did not keep. If the centre annuls the booking as automated, we also cover the fee it keeps.9.3
If you do not pay our fee after we book:
We do not cancel the appointment. The fee stays due as an outstanding amount, and the full confirmation and account credentials are held back until it is paid — you can release them at any time by paying, depositing the amount, or providing security for it. We do not hold anything back over an amount you are disputing in good faith, and we cannot take new orders from you until the amount is settled. If you ask us to release the appointment before its date, or if the appointment ceases to exist before we have delivered the confirmation, the fee stops being due.6.2.6
Waitlisting
Full refund if we fail to register you on the waiting list, or if you cancel before the registration is completed.6.4.3 Once you are registered and we have handed over the credentials and instructions, the service is delivered and is not refundable — you complete the booking yourself when the centre invites you, usually within 24 hours. Missing that window, or a block caused by not following the instructions, is not a failure of the service.6.4.6
If the centre issues no invitation at all during your order period, you choose a full refund or a free extension — and if you tell us nothing, we refund automatically.6.4.5
If the centre sends an invitation and we fail to pass it on promptly, that is our defect — re-performance or a refund.6.4.4
Your 14-day right to withdraw
If you are a consumer, you have 14 days from placing the order to withdraw without giving a reason. Because we start work immediately at your request, you keep this right until the service is fully performed — the first matching alert, a delivered booking, or a completed waitlist registration — and you pay only for the monitoring already done: nothing in the first 5 days, and no more than 20% afterwards.8.2
Use any contact channel below, or the model withdrawal form at the end of the terms. Refunds are paid within 14 days of your notice, to the payment method you used.8.3
How to request a refund
E-mail refunds@visacatcher.bot (or hello@visacatcher.bot, or Telegram support) with your order ID, the payment date, and a short description of what went wrong. You do not need to supply screenshots or prove a negative — we check our own monitoring and delivery logs, and will share them with you on request.9.2
We reply with a decision within 14 days. Approved refunds are paid within 14 days of the decision — or within 14 days of your notice where you are withdrawing — to your original payment method, at no cost to you. Your bank may take a few extra days to show it.15.2
If you think the 20% was too high for the work actually done on your order, say so: we check it against the monitoring records for your order and reduce it where those records show less monitoring than the charge reflects.7.8
If you disagree with our decision
Consumers in Romania or elsewhere in the EU can take the matter to the National Authority for Consumer Protection (ANPC) at anpc.ro or use the out-of-court dispute resolution (SAL) mechanism at reclamatiisal.anpc.ro. You can also go to the courts of your own country of residence. We never require you to arbitrate.15.3
